CARIBBEAN ADMINISTRATIVE ASSOCIATE

Position Title: Caribbean Administrative Associate
Department: Finance and Administration
Reports to: Treasury Manager
Position based in: Kingston, Jamaica

We are The Confederation of North, Central America and Caribbean Association Football, one of six continental confederations of FIFA (Fédération Internationale de Football Association). Concacaf serves as the governing body of football in this part of the world. It is composed of 41 national associations united by the passion for football, from Canada in the north to Guyana, Suriname and French Guiana in the south.

POSITION PURPOSE:
The Caribbean Administrative Associate is responsible for overseeing administrative, financial, and operational processes for the Jamaica office and supports the Concacaf Accounts Payable process.

ESSENTIAL FUNCTIONS:

  • Prepares and reviews the annual budget for the Jamaica office. Monitors budget-to-actual monthly performance and provides actionable feedback on material variances.  
  • Prepares and maintains reports for tax accountants. Participates in quarterly calls with the Accounting Manager and Tax Consultants. Assists with the annual tax return preparation for the Jamaica office.
  • Oversees vendor relationships and maintains contracts and purchase orders for the Jamaica office.
  • Ensures that all Vendor Accounts are handled precisely and vendor cards are accurate and complete, as well as proper management of all compliance documents required for payment processing.
  • Ensures timely and accurate processing of vendor payments.
  • Maintains and reconciles the petty cash account for the Jamaica Office. 
  • Assists in Caribbean office events coordination.
  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring to inquiries.
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Manages and safekeeps the petty cash, maintaining a proper log with the pertinent invoices/receipts and a monthly reconciliation to be provided to the corporate office monthly on a timely basis.
  • Acts as the primary liaison between the bank in Jamaica and the Treasury Manager in Miami.
  • Acts as the primary liaison between the external accountants in Jamaica and the Accounting Manager in Miami.
  • Provides information on annual internal and external audits, grant audits, and other stakeholder requirements.
  • Administration of inventory and office supplies for the Jamaica office.
  • Serves as a point of contact for administrative-related matters.
  • Processes and oversees Concur expense credit card and employee reimbursement reports.
  • Assists with related Accounting Ad-hoc projects or reports as needed.
  • Ensures that the Vendor Contract Management file is accurate and complete. 
  • Supports the Treasury Manager with On-Boarding Training, backup for AP Analyst and Treasury Manager as needed.
  • Supports our Event & Travel Department by attending certain workshops, draws, tournaments, or special corporate events locally or abroad.
  • Assists with special projects and performs various administrative and operational tasks as needed.

SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY:
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that s/he can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities

  • Bachelor's degree (B.A.) in Administration, Accounting, Finance, or a related field.
  • 2+ years of relevant experience in Accounts Payable or administrative roles.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Access) required.
  • Experience with Microsoft Great Plains preferred.
  • Excellent written and verbal communication and interpersonal skills. Bilingual proficiency in English and French or Spanish is preferred.
  • Strong organizational, problem-solving, and analytical skills.
  • Critical thinking skills with a hands-on, analytical approach.
  • Ability to manage multiple priorities and workflows effectively.
  • Acute attention to detail with a commitment to excellence and high standards.
  • Good judgment with the ability to make timely and sound decisions.
  • Strong knowledge of internal controls and ethical business practices.
  • Process-driven, goal-oriented mindset with a continuous improvement mentality.
  • Ability to work independently as well as collaboratively with cross-functional teams and committees.
  • High level of integrity, professionalism, and discretion in handling confidential information and interacting with internal and external stakeholders.
  • Flexibility to travel domestically and internationally as required. Estimated travel: up to 5%.

Due to the cyclical nature of the entertainment industry, the employee may be required to work varying schedules including game nights to reflect the business needs of the company.
